PICO Business Device Manager allows organizations to assign and manage user roles to control access and responsibilities across the platform. By defining roles, you can ensure that each team member has the right level of access for their function, whether they are managing the entire device fleet or simply using a headset.
Default Roles
The platform includes four preset roles to help you get started:
- Owner: Has complete access to all features. There can only be one Owner per organization.
- Admin: Has full access to Device Manager features unless restrictions are set by the Owner.
- Reader: Can view all Device Manager features but cannot make changes, unless permissions are adjusted by the Owner or Admin.
- Device User: Can only access the device itself, with no permissions to use the Device Manager platform.
Customizing Roles
If the default roles do not fully meet your needs, you can adjust them or create entirely new ones:
- Modify an existing role: Go to Teams & Access > Roles, then check or uncheck feature permissions to tailor the role.
- Create a new role: Build a role from scratch with custom access rights and rename it to fit its function.
Creating Teams
Within an organization, Owners and Admins can create teams to manage internal groups or work with external partners.
Step 1: Navigate to Teams & Access > Teams and click New Team to create one.
Step 2: View all existing teams and click on a team name to see its members.
Step 3: Add existing members or invite new users via email to join the team directly.
Managing Teams
Owners and Admins at the organization level can view and manage any team. Simply hover over the organization name, view all teams, and select a team to switch to its account view.
Sharing Content Between Organization and Teams
Content can be shared between the organization and its teams, although teams do not have direct access to the organization’s library.
- From the organization account: Go to Account Settings > Account & Sharing, then manage which content types are shared with each team.
- From a team account: Team Admins can select specific content to share with the organization, allowing both sides to view, edit, and use it.
Transferring Organization Ownership
If ownership of the organization account needs to be transferred, the current Owner can initiate this from Account Settings.
Step 1: The Owner logs into the account, goes to Account Settings > Account & Sharing, and selects Transfer Ownership.
Step 2: Choose the new Owner from the dropdown list.
Important: The new Owner will inherit all existing permissions. The previous Owner will be reassigned as a device owner, and can be removed from the organization through Teams & Access > Members if needed.
